Job Billing
(Permanent Position Type)
View, Add, Edit and Delete a list of Service / Product items and details i.e.; cost, price etc. to a Fee Matrix within the Permanent Job Order

  • Automatic calculation of margin.
  • Enter estimated bill date
  • Flag where the item is ready for invoice
  • Enter in the actual bill date to keep track of what has been invoiced.
  • Create a Bill reminder if required.
Job Schedule
(Temporary / Contract Position Types)
Create using a Job Schedule (Pattern) Template or create a Job Schedule to define the work pattern required i.e.; shift attendance items
Timesheet Workflow Process Define the timesheet workflow:

  •  3 staged workflow to define responsibility and notifications: Initiator – Candidate, Approval – Up to 4 approval levels, Escalation – Internal escalation should no activity occur.
Job Referrals & Referral Workflow
Workflow automatically assigned to Job Orders based on Position Type

  • Apply a different Referral Workflow
  • Use ‘Search Existing Candidate’ action and Create Referrals.
  • Automatic creation of Candidates and Referrals via Job Board integration.
  • Manage Candidates through the Stages via the workflow.
  • Filled Stage automatically runs the Fill Job process.
Custom Items
  • Custom Exit Points to external reports or items

  • Search Job – Search for Job Records by applying different criteria i.e.; Country, Brand, Region, Office, type etc. Job Family – Where more than one Candidate is required for the same role, a job per role is created, and linked to the ‘Master’ (original) Job as a Job Family.
  • Search Candidate – Apply criteria and search for Available Candidates from the Job Order.
  • Advertise Job Order via Broadbean
  • Fill (Place) a Candidate
  • Temporary / Contract to Permanent – Create a Permanent Job Record from a Temporary or Contract position where the Candidate becomes Permanent.
  • Copy Job – Copy an existing Temporary, Contract or Permanent Job Record.
    • Select which segments to copy i.e.; Payment / Billing Details.
    • Link copied Job to a Job Family.

Feature Description
Job order advertising
  • Advertise a customer’s job requirements, direclty from the Job Order.
  • Seamless interface to Broadbean, accessing over over 6000+ job boards globally.
Questionnaire Create Questionnaires for Job Applicants, to further qualify or knock out Candidates responding to Job Advertisements. Via Referral Workflows applicants are either knocked out or automatically referred to a stage within the workflow.
Automated Integration of Job Applicants All job applicants are processed automatically via an integration service that parses resumes, creates candidates or updates existing candidates and attaches resumes and supplied documents.

Auto Approval Create a business workflow which enables the auto approval of standard timesheets
Time & Attendance Portal Timesheet portal where a workflow participant (Candidate, Client Contact or Agency user) can manage the time & Attendance process. This includes:

  • Time based attendance & absence capture
  • Additional Items – The ability to capture additional claims
  •  Reimbursements – The ability to capture reimbursement claims
Attachments The ability to capture attachments for items likes receipts. Time capture is support by the following mediums:

  • Browser for PC access
  • Device agnostic Mobile Timesheets – The ability to manage the timesheet process via a mobile device or tablet. This supports iPhone and Android devices.
  • Timesheet Import – Process timesheet data from external sources
Time & Attendance Reporting Time Reporting in details or summary formats where you may use a vast array of parameters to fine specific timesheet scenarios.
